How lead sync works
Every enquiry from our network of German insurance sites can land directly in your Phi CRM pipeline. Here is how the flow works end to end.
A lead is only useful if it reaches you quickly and lands somewhere you already work. GPHI lead sync is built so that an enquiry from one of our websites becomes a live case in your pipeline with no copying and pasting, no separate inbox to watch, and no delay while a spreadsheet gets emailed round.
Where the leads come from
We run German Private Health Insurance and a network of related insurance and expat sites. People visit those sites looking for cover, read up on the private health system, and complete an enquiry asking to speak to an adviser. Each enquiry is a real person with a stated need, not a scraped contact or a bought list. They have told us what they are looking for, which means you start the conversation already knowing why they came.
How a lead reaches your CRM
When a broker is matched to an enquiry, that enquiry is pushed into the broker's workspace two ways at once. A new client record is created with the person's contact details, and an open deal is opened on the private health pipeline at its first stage. The cover requested and any notes from the enquiry form come across with it, so the case arrives with context rather than just a name and a number.
You find it under New enquiries, which is the triage inbox for fresh leads. Each one shows who it is, what they asked about and where it came from. You decide what happens next: pick it up and start advising, or set it aside. The source is always visible, so you know how every lead reached you. The sidebar carries a badge counting the enquiries still waiting, so nothing sits unseen.
Working the lead
From the moment you pick it up, a synced lead behaves like any other case. You log your first call on the timeline, move the deal to the next stage, and the history builds itself as you go. If you use the client portal, you can send the person their secure link straight away and start collecting documents through it rather than by email. When the deal is won it drops into your policy book with its premium and renewal date, the same as any other placed policy.
Keeping both sides in step
Stage changes on a GPHI linked deal sync back to us, so our records and yours agree on where a case stands. You do not send status updates by email, and we do not chase you for them. When a lead becomes a placed policy, that outcome shows on both sides, and the commission tied to that placed business appears in your commission view. You can see the value of the leads you have worked rather than guessing at it.
Turning sync on
Lead sync is available to contracted partner brokers. You sign the partnership contract inside the tool, and once your partnership is active and sync is enabled on your workspace, new matched enquiries start arriving on their own. There is nothing to poll and no button to press each morning.
If any leads were assigned to you before you joined, they are backfilled into the CRM the first time you sign in. You begin with your full list on the board rather than an empty one, so the tool is useful from the first session rather than after weeks of build up.
Leads only, or the full CRM
If you want the leads but not the full platform, apply for leads only and work them in a simple portal that shows you the enquiries and lets you act on them. When you are ready for pipelines, a policy book, the client portal and the website builder, you upgrade to the full CRM and your history comes with you. Nothing is re-entered, and no case is lost in the move.
The partnership is optional and it changes nothing about how the rest of Phi CRM works. It is a way to add a steady flow of private health enquiries to a tool you would find useful even with no leads coming in at all.
