Setting up your pipelines

Tailor your stages and products so the pipeline matches how you actually sell.

A pipeline is the set of stages a deal passes through on its way to signed cover. Getting your pipelines right early means the board reflects how you really work, so a glance tells you which cases are moving and which have stalled. It is worth ten minutes before you load the board with live deals.

The two pipelines you start with

Every workspace begins with two. The private health pipeline uses stages that match the German PKV process, and it is the one that talks to GPHI lead sync, so synced enquiries land there automatically. The standard pipeline is a general purpose flow for every other line, from liability to income protection. Neither is fixed. You can rename either, add or remove stages, reorder them, change their colours, or build entirely new pipelines for lines that need their own process.

Editing your stages

Open Pipelines and products in the settings group to change how a pipeline is built. Rename a stage so it reads the way you speak to clients rather than the way a system labels it. Reorder stages by dragging them into the sequence a case actually follows. Give them colours if that helps you read the board at speed. Add a stage where your process has a step the default flow does not cover.

Two stages matter more than the rest. The won stage marks a placed policy, and the lost stage marks a case that did not proceed. Setting those correctly is what keeps your reporting honest, because the board then knows which deals are still live and your win rate on the dashboard means something. A pipeline with no clear won and lost stages will quietly overstate how much you have in progress.

Building a new pipeline

If you write a line that does not fit either starter board, build a pipeline for it. Give it stages that follow that line's own rhythm, set its won and lost stages, and it sits alongside the others in the pipeline selector at the top of the board. There is no limit that forces unrelated cases onto the same flow, so a slow, document heavy application and a quick renewal do not have to share stages that suit neither.

Products and lines

Products are the insurance lines you sell, and each product points at a pipeline. When you open a deal for that product, it lands on the right board at the right first stage without you choosing each time. The catalogue comes pre filled with common German lines. Switch off the ones you do not write, rename any that you label differently, and add your own where something is missing.

A quick way to set up

  • Start with the lines you write most often, not the full list of everything you could sell.
  • Point each product at either the private health pipeline or the standard one, or a new pipeline if it needs its own flow.
  • Tidy the stage names so they read like your own words.
  • Set the won and lost stages on every pipeline you use.
  • Leave the rest switched off until you need them.

You can change any of this later without disturbing the deals already in flight, so there is no need to get it perfect on the first pass. Set up what you use this week, and refine it once you have watched a few real cases move across the board.
