Using the client portal

Give clients a secure link to message you and share documents.

The client portal is a private, secure page where a client can message you and share documents. It replaces a trail of email attachments and forwarded threads with one tidy conversation that stays attached to the client's record, so nothing is scattered across your inbox.

Sending a client their link

Open a client and generate their portal link. The link is unique to that client, and you share it however you normally reach them, by email, by message or in person. When they open it they see a simple page with your details and a space to write to you and upload files. There is no account for them to create and no password for them to remember, which is the main reason clients actually use it rather than ignoring it. If a link is ever shared too widely or you simply want a fresh one, you can rotate it at any time and the old link stops working.

Messaging and documents in one place

Anything the client sends through the portal appears on their timeline in your CRM, alongside your own notes and calls. A message they write, a signed form they upload, a copy of their existing cover, all of it is stored against their record rather than buried in an inbox where you have to search for it months later. You reply from the same thread, and they see your reply the next time they open the link. The whole exchange reads as one conversation, in order, with the documents sitting right next to the messages that asked for them.

Why it is safer than email

Insurance work involves personal and, in health cases, medical information. Sending that over ordinary email is risky, and for health data it can be a genuine compliance problem rather than just bad practice. The portal keeps those exchanges in one controlled place. It protects the client, and it gives you a clear record of exactly what was shared and when, which is worth having if a question about a case ever comes up later.

Fitting it into how you work

  • Send the portal link early, before you need anything, so the client already has it when a request comes up.
  • Use it for anything you would otherwise send or receive as an email attachment.
  • Point clients to it when they ask how to get a document to you, so it becomes their default route.
  • Reply in the thread rather than dropping back to email, so the whole history stays in one place.

The tidier the timeline, the easier every future conversation becomes. A colleague picking up the case, or you returning to it after six months, can read the whole exchange in order without hunting through an inbox. That is the real payoff: not just safer document handling today, but a record you can trust the next time the client gets in touch.
